Privacy Policy

Logicode Software LLP ("Logicode", "we", "our", or "us") is a software company based in Surat, India. We build and operate software-as-a-service (SaaS) products for businesses.

This Privacy Policy explains how we handle information when you:

• visit logicodesoftware.com or contact us through it;
• sign up for, use, or evaluate our products — AksharPOS (retail POS), AksharWAP (WhatsApp marketing & automation), and AkshaResto (restaurant POS), including their websites, web apps, and mobile apps (together, the "Services");
• apply for a job with us, or otherwise communicate with our team.

If a product has its own privacy notice, that notice applies alongside this policy. Where they differ, the product-specific notice takes precedence for that product.

As a SaaS provider, we handle two different kinds of information, and our responsibilities differ for each:

Information about you (we decide how it is used)

For website visitors, people who contact us, job applicants, and the people who hold accounts with our Services, Logicode decides why and how the information is processed. This policy describes those practices.

Business data you put into our Services (you decide how it is used)

When a business uses our products, it may store information about its own customers, staff, and suppliers — for example customer names and phone numbers on invoices, loyalty records, or WhatsApp contacts and conversations. We process this data only on behalf of, and on the instructions of, that business to provide the Services. The business is responsible for having a lawful basis to collect it and for responding to its customers' privacy requests.

If you are a customer of a business that uses our products and have a question about your data, please contact that business first. We will help them respond where needed.

Information you give us

• Enquiries and demo requests: your name, email address, the topic you choose, and your message.
• Account and billing details: business name, contact person, phone number, email, billing address, GSTIN, and subscription and payment records. Card and bank details are handled by our payment partners; we do not store full card numbers.
• Support conversations: messages, call notes, screenshots, and files you share with our team.
• Job applications: your CV/resume, contact details, and anything else you include.

Information collected automatically

• Usage and device data: log-in times, features used, IP address, browser and device type, app version, and error and performance logs.
• Cookies and similar technologies: see Cookies and similar technologies below.

Business data processed for you

• Products, prices, inventory, purchases, sales, invoices, returns, expenses, and reports (AksharPOS, AkshaResto).
• Menu items, tables, orders, and kitchen order tickets (AkshaResto).
• WhatsApp contacts, opt-in status, templates, campaigns, conversations, and lead tags (AksharWAP).

Information from third parties

• Meta (WhatsApp Business Platform): for AksharWAP, account and phone-number status, message delivery and read receipts, and template approval status.
• Payment partners: confirmation that a payment succeeded or failed.

We use information to:

• provide, operate, maintain, and secure the Services you sign up for;
• create and manage your account, process subscriptions, and issue GST-compliant invoices;
• respond to enquiries, run demos, and provide onboarding and customer support;
• send service messages such as security alerts, billing notices, and important product changes;
• understand how features are used so we can fix problems and improve our products, using aggregated or de-identified data wherever possible;
• send product news and offers — only where permitted, and you can unsubscribe at any time;
• detect and prevent fraud, abuse, spam, and security incidents;
• evaluate job applications;
• comply with legal, tax, and accounting obligations, and enforce our terms.

We do not use the business data you store in our Services to market to your customers, and we do not sell it.

Our products include AI-powered features — for example, AI agents that reply to WhatsApp conversations in AksharWAP, or insights generated from your sales data.

• When you use an AI feature, the relevant business data is processed to deliver that feature to your account.
• Some AI features rely on third-party AI model providers. We share only what is needed to produce the result, under contracts that restrict how those providers may use it.
• We do not use your business data to train AI models made available to other customers without your permission.
• AI output can be inaccurate. You stay in control of AI agents — what they can answer, and when a conversation is handed to a person on your team.

We share information only as described here:

• Service providers that help us run the business and the Services — such as cloud hosting, databases, email and messaging delivery, payment processing, customer support tools, and productivity software (for example, enquiries from our website contact form are stored in Google Workspace). They may use the information only to provide services to us.
• Meta, when you use AksharWAP to send and receive WhatsApp messages, as required to deliver them on the WhatsApp Business Platform.
• Within your organisation: account administrators can see the data and activity of users in their account.
• Legal and safety reasons: when required by law, court order, or a government authority, or to protect the rights, property, and safety of our users, the public, or Logicode.
• Business transfers: if Logicode is involved in a merger, acquisition, or sale of assets, subject to this policy continuing to protect your information.
• With your consent, for any other purpose we tell you about.

We use reasonable technical and organisational safeguards to protect information, including:

• encrypted connections (HTTPS/TLS) between your device and our Services;
• role-based access, so team members can access customer data only when their work requires it;
• authentication controls, logging, and monitoring to detect misuse;
• regular backups and processes for responding to security incidents.

No system is completely secure. If we become aware of a breach affecting your personal data, we will notify you and the relevant authorities as required by law. Please keep your passwords safe and tell us immediately if you suspect unauthorised access to your account.

• Account and business data is kept while your subscription is active. After cancellation, you can request an export for a limited period, after which the data is deleted or anonymised.
• Billing and tax records are kept for as long as Indian tax and accounting laws require.
• Enquiries and support conversations are kept as long as needed to respond and to keep a record of our communication.
• Job applications are kept for the hiring process and a reasonable time after, unless you ask us to delete them sooner.

Subject to applicable law — including India's Digital Personal Data Protection Act, 2023 — you can ask us to:

• tell you what personal data we hold about you and how it is used;
• correct, complete, or update inaccurate data;
• delete your data, where we no longer need to keep it;
• withdraw consent you have given, such as for marketing messages;
• export the business data stored in your account;
• nominate another person to exercise these rights on your behalf in case of death or incapacity.

To make a request, email info@logicodesoftware.com from the address linked to your account. We may need to verify your identity first. You can also unsubscribe from marketing emails using the link in any message.

We use cookies and browser storage to:

• keep you signed in and remember your settings (essential — the Services do not work without them);
• keep the Services secure, for example by detecting suspicious log-ins;
• understand how our website and products are used, where we use analytics tools.

You can block or delete cookies in your browser settings. Blocking essential cookies may stop parts of the Services from working.

Our service providers may store or process information in India or in other countries. When information is transferred outside India, we take steps to ensure it remains protected as described in this policy and as required by applicable law.

Our Services are built for businesses and are not intended for anyone under 18. We do not knowingly collect personal data from children. If you believe a child has given us personal data, please contact us and we will delete it.

We may update this policy as our products, practices, or legal requirements change. The "Last updated" date at the top shows when it was last revised. If we make significant changes, we will let account holders know by email or in the product before they take effect.
